Privacy Policy.

What we collect, how we use it, and the choices you have.

Who we are.

Paper Clip Coach is the business coaching practice of Travis Kindler, based in Portland, Oregon. In this policy, “Paper Clip Coach,” “we,” “our” and “us” refer to that practice.

This policy explains what personal information we collect through this website and in the course of our coaching business, how we use it, who we share it with, how long we keep it, and the choices you have. If you have a question about it, email support@paperclipcoach.com.

When you send a message.

The contact form asks for your name and email address, and optionally your business name, phone number and a short note. Your message is saved in our private client records, which are hosted by Netlify. If our records can’t be reached when you send it, a backup copy is kept by Netlify’s form service so that your message isn’t lost.

A copy of each message is emailed to our business inbox, and we may send you a short email confirming that we received it.

We use it to reply to you and, if we arrange a conversation, to prepare for it. Sending a message doesn’t create a client relationship and doesn’t subscribe you to marketing emails.

When you book a time.

Scheduling is handled by Calendly, which collects the details you enter, such as your name, email address and any answers to its questions, and sends the calendar invitation. Calendly’s own privacy policy applies to the information it collects.

When you book a time with us, we receive a copy of the booking, including those details and the meeting time, and it is saved in our private client records for us to review.

If you type your name and email address into the message form and then open “Book a time,” they are passed to Calendly to fill in its booking form. Nothing is booked until you confirm a time.

When you request a book.

The “Send me a book” form asks for your name, email address, company name and the mailing address for the book, and optionally your phone number and company website. It also asks a few questions about your role and your business.

Your request is saved in our private client records and a copy is emailed to our business inbox so we can review it. We may send you a short email confirming that we received it. Requesting a book doesn’t subscribe you to marketing emails.

If we send you a book, we use your name and address to mail it through a postal or delivery carrier, which receives your name and the mailing address. We also add you and your company to our client records with a note that we sent the book, so we can follow up with you personally using the email address you provided.

When you work with us.

When you become a client, or when we stay in touch about a possible engagement, we keep business records of the relationship. These can include your contact details, your company and role, notes from our conversations, and emails and files you share with us. They are kept in our private client records and file storage.

Third-Party Business Assessments.

Paper Clip Coach provides access to the Transferable Value Index, an assessment developed and administered by The McFarland Group, an independent third party.

Information Collection and Use

When you participate in the assessment, The McFarland Group collects and processes information provided through your responses, along with certain technical and website usage information. This information may be used to calculate assessment scores, generate results, conduct research, develop reports, improve its services, perform analysis, and support other purposes described in its privacy policies.

The McFarland Group may retain, analyze, aggregate, anonymize, or otherwise process assessment information in accordance with its own privacy policies and applicable law.

Information Shared with Paper Clip Coach

When you complete the Transferable Value Index assessment through the link provided by Paper Clip Coach, we automatically receive an email from The McFarland Group containing your individual assessment results. Depending on the information included in that email, we may also receive related participant information.

Paper Clip Coach may use this information to help you understand your assessment results, identify opportunities for business improvement, provide coaching or advisory services, and communicate with you regarding your assessment and related services.

Assessment information received by Paper Clip Coach may be retained in our business email systems and, where applicable, incorporated into our client or prospect records. We retain this information as reasonably necessary for legitimate business, operational, and legal purposes, consistent with this Privacy Policy.

Paper Clip Coach does not independently administer the assessment or control how The McFarland Group collects, stores, analyzes, or retains information submitted through its assessment platform.

Third-Party Privacy Practices

The McFarland Group independently determines how it collects, stores, processes, retains, and discloses information within its assessment platform, subject to applicable law. Its data practices may differ from those of Paper Clip Coach.

Paper Clip Coach does not control The McFarland Group’s independent data practices. For additional information about its privacy practices, data use, retention, and available privacy rights, please review:

Questions or requests concerning information maintained by The McFarland Group should be directed to The McFarland Group. Questions about information received and maintained by Paper Clip Coach may be directed to Paper Clip Coach.

How we use information.

We use the information described above to:

  • respond to your messages and requests;
  • schedule and prepare for conversations;
  • mail books you request and follow up with you personally;
  • provide and improve our coaching and advisory services;
  • keep accurate business records and protect them against loss; and
  • meet our legal, tax and recordkeeping obligations.

Marketing emails.

We do not currently offer a marketing email subscription, and we do not send marketing emails.

If we offer one in the future, we will send marketing emails only to people who have subscribed or otherwise clearly agreed to receive them, and each one will include a way to unsubscribe. Sending a message, booking a call or requesting a book will never, on its own, add you to a marketing list.

Replies to your messages and requests, and individual emails about your conversations or work with us, are business correspondence rather than marketing.

Cookies and analytics.

Paper Clip Coach uses Netlify Web Analytics to understand how visitors use our website, including the number of visitors, pageviews, popular pages, general geographic locations, and sources of website traffic.

Netlify Web Analytics collects this information through server-side traffic logs. It does not require analytics cookies or additional tracking scripts in your browser.

We do not currently use Google Analytics or Netlify Real User Monitoring. Paper Clip Coach does not currently use its own advertising trackers or set cookies for advertising purposes.

Our website also uses third-party services, including Calendly for scheduling and Google Fonts for typography. These services may receive technical information about your device and browser. Calendly may use cookies and similar technologies when its scheduling interface loads or when you interact with it. Please refer to the respective providers’ privacy policies for additional information.

Like any website, its hosting provider processes your IP address and basic browser information to deliver the pages.

The website’s typefaces are loaded from Google Fonts, so your browser connects to Google, which receives your IP address.

Calendly’s scheduler loads when “Book a time” is shown. It is the first tab on the Contact page, so the scheduler, and any cookies Calendly sets, load when you open that page, unless you go straight to another tab.

Links to other websites, such as the Transferable Value Index or Bloom Growth, take you to sites with their own privacy practices.

If we decide to add other analytics or advertising tools, we will review and update this policy before they are used.

Do Not Track

Paper Clip Coach does not currently change how its website operates in response to browser Do Not Track signals. Certain third-party services included on our website may collect information about visitors, including through cookies or similar technologies. We do not control how those services respond to Do Not Track signals. Please refer to their privacy policies for information about their data practices and available privacy choices.

How we share information.

We don’t sell your personal information, and we don’t give it to other businesses for their own marketing.

We use a small number of service providers to run this website, our scheduling, our email and our records. They include Netlify (website hosting, website analytics, form messages and the database behind our client records), Calendly (scheduling), Google (website typefaces and file storage, including backups of our records), Resend (delivery of our website emails) and, when we mail a book you asked for, a postal or delivery carrier. We may also use other providers that support our business operations. They handle your information as needed to provide their services to us.

The Transferable Value Index is provided by The McFarland Group, an independent third party with its own privacy practices, as described in the section above.

We may also disclose information when the law requires it.

How long we keep information.

We keep personal information only as long as reasonably necessary for legitimate business, operational, contractual and legal purposes, such as responding to you, maintaining records of our business relationships, and meeting tax and recordkeeping requirements.

Mailing addresses from book requests are kept only as long as reasonably necessary to send the book, follow up appropriately, keep legitimate business records and meet legal obligations.

We keep backup copies of our records to protect against loss. When we archive a record, it is removed from everyday use but not deleted, and information can remain in backup copies for a period after it is removed from our active records.

Your privacy choices.

You may ask to access, correct or delete the personal information we hold about you, subject to applicable law. Depending on where you live, you may have other rights under the privacy laws that apply to you.

To make a request, email support@paperclipcoach.com and include “Privacy request.” We may need to confirm your identity before acting on it.

We will review each request and respond in accordance with applicable law. Some information may need to be kept for legitimate business, legal or recordkeeping reasons, and some copies, such as backups, can’t always be removed right away.

For information held by an independent third party, such as The McFarland Group or Calendly, please contact that company directly. We are glad to help you find the right contact.

Updates.

We may update this policy as our website and services change. When we do, we will post the revised policy on this page and change the date below.
